Purpose
This article explains how Account Managers create and submit an RFP Opportunity in Dynamics 365 Sales for review by the RFP Team.

Prerequisites
- User must have access to the Dynamics 365 Sales Hub application
- User must have received an RFP assignment email notification
- Required security permissions must be assigned
Navigation Path
Sales Hub → Opportunities → New RFP
Step-by-Step Instructions
Step 1 — Open the Opportunity Area
After receiving the RFP assignment email notification, log into Dynamics 365 Sales.
From the left-hand navigation menu:
- Select Opportunities
- Locate the top command bar
- Click New RFP
Step 2 — Begin the RFP Approval Form
After clicking New RFP, the system opens the RFP Approval Form. Make sure the form is on RFP as seen in the screenshot below and not Opportunity.
The intake process has now started.
Step 3 — Complete the Required Intake Information
Fill in all required fields on the RFP Approval Form.
Required information includes:
- Topic Name - (Service)
- Account Manager (Yourself)
- Account Name (Company)
- Customer Tier
- Business Unit
- Opportunity Type
Continue filling in the remaining intake information and click save so you don't lose your work.
Step 4 — Review the RFP Business Process Flow
After completing the intake form:
- Navigate to the Business Process Flow at the top of the form
- Confirm all required fields in the Intake Submission stage are completed
Step 5 — Submit the Intake Stage
Click Next Stage in the Business Process Flow.
This action submits the RFP intake for RFP Team review.
What Happens Next
After Intake Form submission:
- The RFP Team reviews the intake
- The Account Manager receives an email notification with the outcome
Possible outcomes:
- Governance review required
- Governance review not required
Governance Review Scenario
If governance review is required:
- The Account Manager receives an email notification
- The email includes instructions to prepare for the governance review meeting
- A Bid / No-Bid decision is made (following Governance meeting)
- The Account Manager updates the CRM with the Bid decision and clicks the Next Stage in the Business Process Flow.
No Governance Review Scenario
If governance review is not required:
- A Bid / No-Bid decision is made by Account Manager/Business Unit Manager
- The Account Manager updates the CRM with the Bid decision and clicks the Next Stage in the Business Process Flow.
- A Pro forma record is automatically created in CRM
- An email notification is sent to:
- The Account Manager
- Finance
The email includes:
- Pro forma link
- Opportunity link
